General & Getting Started

A Clipform is a shared digital sign-up sheet. One person creates it, shares the link, and everyone can claim a spot, volunteer for a shift, or say what they're bringing — no paper sheets, no long text chains. You can set limits on every option (two volunteers per shift, five entrées, one family per conference slot), and Clipform closes each option automatically when it's full.

No. By default, anyone with the link can sign up without registering or logging in — they click a spot, fill in their information, and submit. Participants who do have a Clipform account get their name, email, and phone auto-filled, and can view, edit, or cancel their own sign-ups later.

When you're logged in, use the Feedback button at the bottom of any Clipform app page to share an idea, report a problem, or tell us what feels confusing. Participants may also see a quick feedback prompt just after signing up, plus a quiet feedback link at the bottom of that Clipform when we can connect the response to their sign-up. Your note goes directly to the Clipform team, and we can follow up using the email on your account or sign-up. For urgent account-access help, email [email protected].

When you create a clipform, you choose one of two types. A Sign-Up Sheet is a set of lists where people claim spots or items — perfect for potlucks, donations, and volunteer roles. A Shift Schedule is built for time-based scheduling: it generates shifts with start and end times grouped by date, and participants can select several shifts at once and sign up for all of them in a single submission.

Yes. Visit clipform.com/demo for a live example — a real sign-up sheet you can explore and even practice signing up on, with no account needed. Nothing you do there is saved, and when your practice sign-up fills a list you'll see it close itself automatically. A toggle at the top switches between the Sign-Up Sheet and Shift Schedule formats, and each template's page links to a live demo of that template too.

Yes. You decide what's visible: public visitors only ever see first names with a last initial (like "Sarah J."), and you can mark any field — email, phone, or answers to your questions — as visible to everyone or to organizers only. Your account itself is protected with email verification and optional Two-Factor Authentication.

Yes. On the create page, under the starting-point cards, click "Start a tour" and pick one of three guided walkthroughs: build from scratch (the full step-by-step tour, and the best one to start with), start from a template, or start from text. Each tour rides the real create wizard — you're building an actual clipform as you go, not a demo — and every step has a Skip button if you'd rather carry on alone. The tours work on phones as well as desktop, and any account can start one at any time, so you can come back for a refresher later. Brand-new accounts also get a "Take the tour" button on the dashboard — and if you'd rather explore something already built, the same getting-started panel can open a ready-made sample clipform as a private draft, so you can look around, change things, and publish it or delete it when you're done.

Creating & Customizing

Click "New Clipform" from your dashboard and follow the guided steps. Start by choosing a starting point — build from scratch, pick a template, or describe what you're organizing and let Clipform draft it for you — then give your clipform a name, description, and timezone, choose Sign-Up Sheet or Shift Schedule, and add your lists with their limits and the information you want to collect. The last step, Preview & Publish, shows you exactly what participants will see before anything goes live; publish from there and you'll get a share link immediately. If you'd rather be walked through it, click "Start a tour" on that first step for a short guided walkthrough.

Yes — that's Describe It. On the first step of the create wizard, choose "Describe It," then tell it what you're organizing in your own words or paste in what you already have (up to 10,000 characters — the volunteer email you already sent, a flyer, a group chat message, a rough list of shifts), and click "Build my clipform." A few seconds later you land on the Preview & Publish step with the lists, capacities, deadlines, and sign-up fields already drafted from your text, all of it editable. Nothing is created or published until you review it, so treat the draft as a head start rather than a final answer — check the capacities and dates especially. Describe It is a Pro feature, but every Free account gets 2 free AI builds to try it — the same allowance also covers "Tailor with AI" on template pages, which reshapes a ready-made template around the event you describe. The text you provide is sent to our AI provider to build the draft, and Clipform keeps it and the generated draft for up to 90 days to evaluate and improve the feature, so don't include anything you wouldn't want processed for that purpose. "How this data is used" under the text box and our Privacy Policy have the full details.

Yes. The final step of the create wizard is Preview & Publish. Click "Preview in new tab" and Clipform opens your clipform's public page exactly as participants will see it — lists, descriptions, remaining spots, and the sign-up form itself. The preview is temporary and read-only: nothing is saved, nobody else can reach it, and closing it brings you back to the builder with your work untouched.

Yes. Sign-up sheets come in two participant layouts. Simplified, the default, is a clean, mobile-friendly page that leads with what's still open — each list shows a capacity meter and how many spots remain, with the names of who's signed up a tap away. Detailed is the classic table-style view that shows every column of public information at once. Pick a layout when you create the clipform, or switch anytime under Appearance on the manage page — that's also where you choose a color theme. Shift Schedules always use the shift layout.

Each list can collect a participant's name, email, and phone number, plus your own custom questions (like "What dish are you bringing?"). Every field can be toggled on or off, marked required or optional, and set to be visible to everyone or to organizers only.

Give any list a limit — say, 5 spots — and Clipform enforces it automatically. Everyone can see how many spots are taken, and once the limit is reached the list closes and the sign-up button is disabled. If an organizer removes an entry or a participant cancels, the spot reopens on its own. Leave the limit blank for unlimited sign-ups.

Yes. Each list can have a lock date. Sign-ups stay open through the end of that day in your clipform's timezone, and after that the list shows as expired and no longer accepts entries.

Yes. In the create wizard, choose "save as draft" instead of publishing — your clipform is saved privately with no public page, and you continue editing it from its manage page whenever you're ready. You can keep as many drafts as you need, invite collaborators to polish one together, and publish with one click (with a heads-up if any lock dates have already passed). A published clipform with no sign-ups yet can also be reverted back to draft.

Yes. From the manage page you can edit the clipform's details, change list settings, add new lists, or remove ones you no longer need — changes take effect immediately on the shared link. You can also add, edit, or remove individual sign-ups on behalf of participants.

Sharing & Participants

Every clipform gets a short public link, which you can copy with one click from the manage page. Share it however your group communicates — email, group chat, a newsletter, or a flyer. Anyone who opens the link sees the live sign-up sheet on any device.

They see your clipform's name and description, each list with how many spots are taken and how many remain, and who has signed up so far — shown as first name and last initial only. Any information you marked "organizers only" is hidden from public view.

The list closes automatically and its sign-up button is disabled, so nobody can overbook or double up. Participants can immediately see which options are still available, and if a spot frees up, the list reopens on its own.

Participants who signed up while logged in to a Clipform account can edit or cancel their own entries any time the clipform is still active. Guests who signed up without an account can't edit their entry themselves — but any organizer can update or remove it for them from the manage page.

Turn on Waitlist in the manage page's Advanced Settings and full lists start taking waitlist entries instead of turning people away. When someone cancels, the first person in line is promoted automatically and emailed. Waitlisted entries don't count against the list limit and are excluded from exports until they're promoted.

Yes — Ticketing & Check-In is an Ultra feature. Turn it on in the manage page's Advanced Settings (or when creating the clipform) and every confirmed sign-up gets a unique QR ticket by email. On event day, anyone the clipform is shared with can open the door check-in scanner, scan tickets with their phone camera, confirm the attendee's details, and check them in — with live counts shared across every scanner. Attendees with accounts can also retrieve their ticket from My Submissions.

By default your clipform is open to anyone with the link. If you need more control, Clipform Restriction (an Ultra feature, under the manage page's Advanced Settings) requires participants to sign in with a verified Clipform account and limits sign-ups to an approved list of email addresses or domains — handy for keeping a staff or school event limited to your organization.

Collaboration & Teams

Yes — Clipform is built for teams as much as individuals. From the Sharing settings, invite a collaborator by email as a Viewer, Editor, or Co-Owner. The invitation appears on their Clipform dashboard and in the Sharing portal (the Sharing link in the top navigation), and they'll need a verified email address on their account to accept it.

Viewers can see all sign-ups, including organizer-only details, but can't change anything. Editors can manage the sign-up sheet itself — adding and editing lists, managing entries, and exporting data. Co-Owners have full control, including clipform settings, archiving, and inviting or removing other collaborators.

The Sharing page (the Sharing link in the top navigation) shows it all in one place: pending invitations you can accept or decline, folders and clipforms shared with you along with the role you hold, and everything you've shared with others with each person's permission level and a revoke button. A badge on the Sharing link tells you when invitations are waiting.

Yes — ownership transfer is built for handoffs like a role change or someone leaving. As the owner, open the item's Settings, choose Transfer ownership, and enter the new owner's email; you can keep yourself on as a Co-Owner or step away entirely, and a folder transfer can optionally include the clipforms you own inside it. Nothing changes until the recipient reviews and accepts the offer from their Sharing page — including clear warnings if their plan doesn't cover a feature the clipform uses.

Yes — with team folders (a Pro feature). Put your clipforms in a folder and share the folder itself with your team. Everyone you invite gets access to every clipform in that folder, with the role you choose (Viewer, Editor, or Co-Owner) — and any clipform you add to the folder later is instantly available to them too, with no re-inviting. Removing a clipform from the folder removes team access to it. It's ideal for a board, staff, or committee that runs many sign-up sheets together.

Yes. Everyone works from the same live clipform, so a PTA committee can split the work — one person managing volunteer shifts, another tracking food sign-ups — while all of them see the same up-to-the-moment entries, updates, and remaining needs.

Everyone you share a folder with sees the folder page and holds their role (Viewer, Editor, or Co-Owner) on every clipform inside it. Editors and Co-Owners can also add clipforms to the folder — ones they own or that are shared with them — including creating a brand-new clipform right from the folder page, and they can remove their own clipforms from it. Removing anyone else's clipform, and the folder's settings, sharing, appearance, public catalogue, and deletion, belong to the folder owner alone. Viewers can't change the folder's contents at all.

Every clipform keeps an automatic audit trail. It records key actions — lists added or removed, sign-ups added, edited, or deleted, collaborators invited or removed, settings changed — along with who did it and when, so a team of organizers always knows what changed.

Your Dashboard

Folders keep your dashboard organized. Create folders like "School," "Work," or "Neighborhood" and file your clipforms into them — a clipform can live in more than one folder at once. Every folder has its own management page with search, members, appearance, and settings, and deleting a folder never deletes the clipforms inside it.

Yes. Open the folder and click New Clipform — the create wizard opens already pointed at that folder, and the new clipform is filed into it automatically the moment you publish or save it as a draft. Drafts stay visible only to you and your collaborators on the folder page; they never appear on the folder's public catalogue until published. Folder Editors and Co-Owners can use this too, so a team can build its sign-up sheets right where they're organized.

A public catalogue (a Pro feature) turns a folder into one shareable page listing all its open sign-ups — perfect for a teacher sharing every classroom sign-up with parents through a single link. Turn it on from the folder page's Public Catalogue section, add a welcome description and a color theme, and share the link or QR code. Choose between two layouts: Cards, where visitors browse each clipform and open it to sign up, or Combined, which puts every open list from the folder's clipforms on one page with a Sign Up button beside each. Only clipforms you own appear, archived ones never do, and the page updates instantly as you add or remove clipforms — sorted by nearest lock date, or with still-open sign-ups floated to the top with smart ordering.

Archiving retires a clipform when the event is over: it stops accepting new sign-ups and is hidden from public visitors, but you and your collaborators keep full access to everything that was collected. You can restore an archived clipform at any time, so nothing is ever lost.

Your dashboard has one search bar that suggests matching clipforms and folders as you type and can filter the current view, plus view pills — All, Uncategorized, Folders, Archived, and Ticketing when you have live ticketed events — and a "Jump Back In" shortcut to your most recent clipform that stays put no matter which view you're browsing.

Templates save a clipform's whole layout — its lists, descriptions, fields, and limits — so you can reuse it for the next event without rebuilding it. You can save any existing clipform as a template, browse ready-made templates when creating a new clipform, and share your own templates with other organizers via a link or import code.

Yes — click Duplicate on the clipform's manage page (or its dashboard card menu). You get your own private draft copy of the lists, fields, limits, and settings — sign-ups, collaborators, and lock dates don't copy — ready to adjust and publish. For a reusable blueprint you'll use again and again, "Save as Template" is still there too.

Exports & Follow-Up

Yes. Every clipform exports to a CSV spreadsheet with one click from the manage page — the file includes each participant's name, email, phone, sign-up time, and their answers to your questions, and it opens cleanly in Excel or Google Sheets. Pro organizers also get an Excel export with each list on its own tab, plus a live Google Sheets link: paste one formula into a sheet and it keeps itself updated as sign-ups come in.

Two ways. Turn on Participant Reminders in the manage page's Advanced Settings and Clipform emails everyone who provided an address a reminder the day before their list's lock date, automatically. For anything more tailored, the CSV export opens in Excel or Google Sheets and works directly with mail-merge tools, so you can send your own emails or texts telling participants what they signed up for and when to show up.

Account, Security & Billing

Verifying your email — with the link or 6-digit code we send you — lets you publish Clipforms and public folder catalogues. The code can be entered right where you need it: the create wizard's publish step and a draft's manage page both take it inline, so you don't have to leave what you're doing. Before verification, you can still build Clipforms, save them as drafts, and organize private folders. Verification also unlocks accepting collaboration invitations and signing up on restricted Clipforms. You can re-send the verification email from your Account Settings, with a limit of a few requests per month. An email address can only be verified on one Clipform account at a time, so if you're told an address is already in use, it's verified on another account.

Two-Factor Authentication adds an extra layer of security by requiring a temporary code from an authenticator app (like Google Authenticator or Authy) in addition to your password. Enable it under the Security tab of your Account Settings by scanning the QR code with your app. Clipform then shows you a set of one-time recovery codes — save them somewhere safe before you close that screen, because they're your way back in if you lose your phone. You can turn 2FA off again from the same place.

That's what recovery codes are for. On the login screen, click "Lost access to your authenticator app? Use a recovery code" and enter one of the codes you saved — each code works once. Once you're back in, the Security tab of your Account Settings shows how many unused codes you have left and lets you generate a fresh set at any time (generating a new set invalidates the old one). Signing in with a recovery code usually means the device itself is gone, so the best next step is to disable 2FA there and re-enable it on your new phone — that gives you a new secret and a new set of codes. If you've lost your recovery codes too, email [email protected] from your account's email address and we'll help you regain access.

Use the "Forgot password" link on the login page. We'll email you a secure link to choose a new password. If you have 2FA enabled, you'll still enter your authenticator code when you log back in.

Yes — enterprise plans give an organization Pro or Ultra for every verified account at the organization's email domains (or for specific addresses). Seats can be capped or unlimited. A designated leader can manage the roster, or Clipform can host the plan as a sponsored grant with no org-side leader. Members' personal subscriptions are cancelled so the organization covers the cost; if the organization plan or Clipform promotion ends, accounts return to Free. Contact support to set one up.

Every plan includes unlimited Clipforms and unlimited sign-ups. Free ($0) covers everyday organizing with standard sign-up fields, automatic limits, and Clipform branding on participant pages, plus 2 free AI builds to try Describe It. Pro keeps Clipform branding and adds Describe It for drafting a clipform from your own words or an email or flyer, multiple custom questions per list, Excel and live Google Sheets exports, Smart List Ordering, description links, team folders, public folder catalogues, and other tools for busy organizers. Ultra adds custom participant-page branding, Ticketing & Check-In, access restrictions, and API access. Inviting co-owners and editors to a Clipform is free on every plan.

Yes. Free accounts can create, publish, archive, restore, receive, and own as many Clipforms as they need, and every Clipform can collect unlimited sign-ups. Email verification, safety protections, and feature-specific limits still apply, but there is no account-level Clipform count cap.

Free and Pro participant pages include Clipform branding. Ultra owners can save account branding, then choose on each Clipform whether to use that account default, standard Clipform branding, or a separate logo and brand name for that Clipform. Clipform-specific choices apply to its public page, embed, and tickets; public folder catalogue headers continue to use the account brand. Clipform still appears in service URLs, account flows, policy links, safety tools, and transactional messages where it identifies the service.

Your account branding and individual Clipform overrides stay saved privately, but the branding controls disappear and Clipform branding returns on participant pages. Nothing is deleted, and your saved choices appear again automatically if Ultra access resumes.

Open Billing & Plans in your Account Settings and choose Upgrade on the plan you want. You'll be taken to a secure checkout page hosted by Stripe, our payment partner, to enter your card — the moment payment succeeds, your new plan is active on your account. Plans bill monthly and you can cancel anytime; there's no contract.

Click Manage billing under Billing & Plans. That opens your secure Stripe billing portal, where you can switch between Pro and Ultra (the price difference is prorated automatically), update your payment method, download past invoices, or cancel. Cancelling takes effect at the end of your paid month — you keep your plan until that date, and you can change your mind and resume from the same portal at any point before then.

No. All payments are processed by Stripe, and your card number is entered only on Stripe's secure pages — it never touches Clipform's servers. Clipform only ever knows your subscription's status, like which plan you're on and when it renews.

Nothing dramatic. Stripe retries the charge automatically and emails you to update your card, and you keep full access to your plan during a grace period. If the payment still can't be collected after that, your account returns to the Free plan — but nothing is deleted: every clipform, sign-up, and folder stays exactly where it was, and a successful payment or fresh upgrade restores your plan instantly.

Your data is never deleted, and every Clipform keeps running because Free includes unlimited Clipforms. Clipform branding remains on participant pages. Other paid features pause rather than break: custom Ultra branding is kept privately, live export links and public catalogues go dormant, description links display as plain text, and everything lights back up the moment you upgrade again.
